Regulated Manufacturing

Shopfloor digitized.
Every batch traceable.

A pharma excipient manufacturer moved off paper and WhatsApp. Lot-number traceability from receipt to dispatch - and GMP-ready documentation as a daily output, not a month-end scramble.

Manufacturing Inventory Lot Traceability QC per SKU Zoho Integration
Snapshot
Industry
Pharma Excipient Manufacturing
Previous Setup
Zoho for commercial transactions + manual shopfloor records
Integration
Works alongside Zoho via API - no replacement
Deployment
Secure managed cloud, phased rollout starting with one plant
Phase
Phase 1 live - single plant. Phase 2 across locations planned.
The Challenge

Commercial ops in Zoho. Everything else on paper.

The company was already using Zoho to manage financial and commercial transactions - purchase orders, sales orders, and invoicing were under control.

But shopfloor operations, quality control, and batch traceability lived in manual records, spreadsheets, and disconnected systems. As volumes grew, the gap between the books and the floor became the biggest operational risk.

01 No system to track inwarding and QC status of raw materials
02 Limited visibility into shop floor production stages
03 Manual tracking of batch / lot numbers and expiry dates
04 Difficulty enforcing QC checkpoints before and during production
05 No structured linkage between production batches and dispatches
06 Challenges maintaining GMP-ready documentation and traceability
07 Scaling across plants would multiply every one of these problems
What They Needed

A solution built around how pharma manufacturing actually works

Not a rip-and-replace. A layer that fills the gap between Zoho and the shopfloor.

Work alongside Zoho, not replace it
Connect to the existing Zoho setup via API so financial records stay exactly where they are - no migration, no disruption.
Digitize shopfloor production and quality workflows
Replace paper-based tracking with real-time digital records that every supervisor can update from the floor.
Enforce QC at every stage
Hard stops at material inward, in-process, and finished goods QC - nothing moves forward without passing the checkpoint.
Batch / lot-level traceability, end to end
Link every lot from raw material receipt through production to the customer shipment. Full forward and backward traceability.
Support regulated data fields
Capture expiry dates, storage conditions, pack sizes, and QC status as structured data - not freeform notes - so they're always audit-ready.
Phased rollout, one plant first
Start with a single manufacturing plant to prove the model. Then extend to other locations as processes stabilize and the team builds confidence.
End-to-End Flow

Seven stages. Every one digitized.

Flow diagram - to be added

01
Raw Material Inwarding
Log every incoming material receipt with supplier, lot, quantity, and storage location.
02
Incoming Quality Control (IQC)
QC checkpoint before material is accepted into inventory. Fail = quarantine. Pass = available for production.
03
Production Order Creation
Create a production order linked to the sales order, BOM, and available lot-approved materials.
04
Shopfloor Production Tracking
Real-time stage-by-stage tracking of the production run - visible to supervisors and managers simultaneously.
05
In-Process Quality Control (IPQC)
Mid-production QC checkpoints enforced within the workflow. Not an afterthought - a hard gate.
06
Finished Goods QC
Final quality sign-off on the finished batch before it can be allocated for dispatch.
07
Dispatch & Customer Shipment
Delivery challan, lot linkage, and dispatch record - traceable back to the raw material lot in two clicks.
Implementation Approach

Phased. Not a big-bang go-live.

Start stable, prove the process, then scale - the rollout was designed to avoid the operational disruption that kills most ERP projects.

1
Phase 1 · Live

Single-Plant Shopfloor Digitization

The initial rollout focused on stabilizing and digitizing operations at one manufacturing plant - proving the model before scaling.

  • Integrate with existing Zoho setup via API
  • Establish batch and lot traceability from receipt to dispatch
  • Digitize IQC, IPQC, and finished goods QC workflows
  • Track production stages in real time on the shopfloor
2
Phase 2 · Planned

Multi-Plant Rollout

Once the single-plant process is stable and adopted, the same digital workflows roll out to manufacturing plants in other locations.

  • Replicate proven workflows across additional plants
  • Centralised visibility across all plant locations
  • Cross-plant inventory and transfer management
Operational Improvements

What changed on the floor.

Full batch-level traceability across the production lifecycle
Every raw material lot is linked through production to the customer shipment. Forward and backward trace available in seconds - not a multi-day audit exercise.
Enforced QC before material usage and before shipment
IQC, IPQC, and finished goods QC are hard gates in the workflow - materials and batches cannot move to the next stage without a QC pass.
Real-time visibility into shopfloor status
Supervisors and managers see live production stage status - no more chasing the floor for updates over WhatsApp or phone calls.
Reduced manual documentation and spreadsheet dependency
GMP-ready documentation is a daily output of the system - not a month-end reconciliation task. Spreadsheets are no longer the system of record.
See it in your operation

Does this sound familiar?

If your shopfloor still runs on WhatsApp messages and end-of-shift spreadsheets, let's show you what a digitized operation looks like - built around your process, not around a generic ERP model.
